KITA Parent Message and Pickup Review

Route common KITA and daycare parent messages without treating every email like a generic support ticket. The workflow separates absence notices, pickup-person changes, and routine schedule questions. Pickup changes enter a Human-in-the-Loop review and are never auto-approved.

What this workflow does

  1. KitaInbox watches the daycare mailbox
  2. ClassifyKitaMessage extracts a child code, date, pickup window, staff summary, and a narrow message category
  3. RouteKitaMessage sends absence notices, pickup changes, and routine questions down different paths
  4. Absences are logged in a Heym DataTable
  5. ReviewPickupChange pauses for human safeguarding review before a decision is recorded
  6. Schedule questions and other mail notify the KITA staff channel

Use cases

  • KITA absence intake
  • Parent schedule-question routing
  • Pickup authorization change review
  • Auditable handover and safeguarding workflows

Setup

Connect IMAP, LLM, and Slack credentials. Create separate DataTables for attendance notices and pickup-review decisions. Use pseudonymous child codes and the minimum information required. This workflow must never be the source of truth for guardian identity and must never auto-approve a pickup-person change.
